The Role
This role exists to give TrustFlight's growing Vancouver team reliable, day-to-day HR support — covering onboarding, employee records, routine employee relations queries, and recruitment coordination. It provides the local presence and responsiveness that Canadian employees and managers need, while the Senior HR Business Partner focuses on strategic and Group-wide priorities.
What you’ll be doing
· Provide day-to-day HR support and guidance to Vancouver employees and managers, escalating complex employee relations matters to the HR Business Partner.
· Coordinate onboarding and offboarding for the Canadian team, including contracts, IT/equipment setup requests, orientation, and exit documentation.
· Maintain accurate employee records in HiBob for the Canadian team, processing changes promptly and producing standard reports as requested.
· Support hiring managers with posting approved Canadian roles, scheduling interviews, and coordinating candidate communications.
· Administer local benefits enrollment and respond to routine payroll and benefits queries, liaising with providers as needed.
· Coordinate Canadian team training assignments and completion tracking in the Group LMS (Kallidus), flagging gaps to the HR Business Partner.
· Manage day-to-day operations of the Vancouver office, including supplies, equipment, and general upkeep of the workspace.
· Serve as the main point of contact for the landlord and building management, and coordinate with vendors for cleaning, maintenance, and repairs.
· Organise office logistics for team meetings, events, and visiting colleagues, including catering, room setup, and travel coordination as needed.
· Maintain office health and safety standards, including access control, emergency procedures, and compliance with local workplace regulations.
Job requirements
What you’ll bring
Required Qualifications & Experience:
· Diploma or degree in Human Resources, Business Administration, or a related field.
· 2–3 years of HR experience in a generalist, coordinator, or advisor capacity.
· Working knowledge of BC and Canadian federal employment standards.
· Experience using an HRIS platform for day-to-day employee record-keeping (HiBob experience an asset).
Desirable Skills & Experience:
· Experience in a SaaS or technology business.
· Progress towards, or completion of, a CPHR designation.
· Familiarity with Leapsome or similar performance management tools.

Expectations
Uses AI-assisted tools in daily workflows
Confidently uses AI features in existing tools (e.g. copilots, smart search, assisted drafting). Understands when AI output needs human review. Completes AI User onboarding within 30 days.
Role-Specific AI & Digital Skills
· Use AI tools to draft routine employee communications and onboarding materials.
· Apply AI-assisted search and summarisation within HiBob and Leapsome for reporting.
· Use AI scheduling assistants to help coordinate interviews and onboarding logistics.
· Use AI tools to help organise and track training completion data in Kallidus.
AI Development & Growth
· Complete the AI fluency onboarding programme within the first 30 days.
· Dedicate time each month to learning new AI features within HiBob, Leapsome, and Kallidus.
· Share useful AI prompts and shortcuts with the wider People Team.
· Participate in the internal AI community of practice.
Location: This role will be based out of our office in Vancouver. This is an on-site role.

We place huge importance on the contribution and experience you bring to the team. The salary will be based on the value you will bring to the role with a range spanning from range $68,000 - $75,000 CAD per year. The actual base pay offered will be based on a wide range of factors, including skills, qualifications, relevant experience, and work location.
